InCopy Server Setup Guide?

Hi,

 

Does anyone please have a link to a decent guide that will explain how to set up a local server - so we can edit our InDesign project on InCopy from different Macs in our office.

Changes to layout in InDesign don't go over to InCopy

Hi all,

recently we have been running into a strange phenomenon:

If the designer is just doing changes to the positioning of text frames (ie no edits that change the wrapping of text) updating the assignments does not work reliably.

I can replicate that on my machine (InDesign 5.03/InCopy 5.03; all files reside on a local file server in a folder I have full access to)

I created an InDesign file with several text frames that are exported as an assignment.
If I just move the frames and use "Update all assignments" or "Update assignment" nothing happens and the layout will not update in the opened InCopy assignment.

Afer several attempts (and some waiting in between) I can see the progress bar when updating the assignment - then the changes also show up in InCopy.

The problem is that our designers and editors are working from different locations - the editors will never notice the design changes if they don't show up in InCopy.

Can anyone shed some light on this - we're just starting work on another large cooperative project involving one designer and several editors using InCopy and I really don't want that to happen there...

ps: Strange, I was in the impression this post would go to the InCopy Windows forum - we are working on windows. Sorry for that.

ps2: It seems that the "Update all Assignments" button does not work at all in this case. Selecting the assignment and using "Update Assignment" works better, but not always.

'Unable to Lock File' when attempting to check out InCopy text from ID CS3!

The Scenario:
The InCopy file (incx) is created by the editor (using InCopy CS3 on a Mac). He puts the .incx file onto a remote server (a G5 Mac) where it will stay throughout the duration of the project. I (the designer, using InDesign CS3 on a Mac) can also access this remote server, and I import the .incx file into an InDesign document. All Macs are running OS X 10.4.11.

The Problem:
When I attempt to check out the assignment from the Assignments window, I get the error message "Unable to Lock File..." followed by the path to the .incx file on the mounted remote volume.

If I put the .incx file onto my computer first, then import it, everything works fine. But that scenario won't work for us. The editor needs to be able to edit the text at all times, and we have another designer that will be working on the files as well, so we need to have the .incx file stay on that remote server.

As a test, I did this whole thing using the same files on a Mac running InDesign CS2, and everything worked perfectly, no problems.

What am I missing here? Please tell me that CS3 didn't downgrade the ability to work remotely with InCopy.

I'm trying to understand what InCopy is as opposed to InDesign. It seems like InCopy does basically the same thing as InDesign.

Track Changes and strange behavior in InCopy

I've recently noticed that there is some strange behavior with how InCopy (and presumably InDesign) use Track Changes, but wanted to run it by people here before reporting it as a bug.

 

Here is the text view of an example where I have added text (ABCDEF) proceeded and followed by some deleted text (the K's).

My expectations here would be that this would represent 3 changes:

  1. The deleted K's.
  2. The added letters ABCDEF
  3. The deleted K's.

 

However, functionally and in the code, this is actually being rendered as 4 changes:

  1. The deleted K's.
  2. The added letter A
  3. The added letters BCDEF
  4. The deleted K's.

 

It seems that if added text is proceeded by deleted text the first character following the deleted text will always be defined as a separate change. Below is the code in the ICML file that shows this.

Note that the first character is made into a separate change both when the deletion is made before the text is added and after. So if I later remove the letter C the letter D will then become an isolated change separate from DEF.

 

When it comes to accepting the changes the behavior is even more unpredictable. If I select just the letter A and then choose to accept that change it also accepts the proceeding deleted text change:

Here I select the letter A and then "Accept Change". I expect only the A to no longer reflect a change that has been made. However...

...the actual result is that the A and also all of the proceeding deleted text is accepted.

 

Can anyone offer some input on this at all? Am I misunderstanding something or is deleted text "cannabalizing" the first character that succeeds it and incorporating it into its own change? I imagine this can cause all sorts of issues if it is indeed a bug. (Note that this is present in CC2015 as well as quite a number of releases going back.)

InCopy Missing Fonts

I am not an InDesign/InCopy user so my knowledge is limited.  A  division of our company is adding InCopy to InDesign CS5 to control  workflow.  I have been called in to help troubleshoot an issue with  missing fonts using InCopy.

 

Example:  Mac User (A)  creates a layout using InDesign CS5 and saves to network share.  We have  tested this with or without creating assignments.

Mac User (B) opens layout using InCopy and receives "Missing Fonts" message.

 

It  is our understanding that InCopy took care of this by the  use/integration of the Document Fonts Feature.  The Document Fonts  folder is created and the fonts in the document are in that folder but  it is as if InCopy doesn't know where they are.

 

1. Are  we incorrect thinking that InCopy should take care of this (even though  it is a bullet point on Adobe's website as a New feature)?

2. If  we are correct, then we must be missing something in our process and  would like to know if there are step-by-step instructions to make this  work.

 

I saw the post concerning copying fonts to the  InCopy fonts folder to work around font issues between Mac and PC but I  thought that was taken care of with this New feature as well.

 

I appreciate any help someone can offer.

Random font style, size and color changes in InCopy package file

I design a magazine for a local client, sharing files remotely through an ftp server. For the past couple of issues we have been using InCopy to exchange layouts for editing and copyfitting. I put together InCopy assignments, package them as an icap files and upload them to the ftp server. The editor works on the files in InCopy, and exports and uploads an idap files that I then open in InDesign.

 

We use an extensive and well-tested set of master pages and styles for the magazine design. The new InCopy workflow works great with most of the page layouts in the magazine.

 

The exception is any layout in which I apply style or color overrides to any of the content in the story. For example, if I override a headline font style, size, or color, the layout will look fine in InDesign, but when the exported icap file is opened in InCopy the layout just goes crazy.

 

Sections of text -- sometimes several paragraphs downstream from the restyled content -- will randomly change font size, style, and color -- usually picking up one or more of the attributes that I applied to the headline. Because all story frames are linked -- headlines, bylines, body frames, etc. -- this usually creates a domino effect of overflowed frames.

 

I should mention that all of the content is marked up with XML tags. I have a nagging suspicion that somehow these "invisible" markers are picking up style information and interfering with InCopy's ability to parse the overrides. But that's just a guess. I've tried all kinds of things to fix the problem -- breaking links to styles, reapplying styles, or updating the broken styles in InCopy and forwarding to a second InCopy file. Sometimes this helps, sometimes it doesn't.

 

Uploading the InDesign file to the ftp server so the editor can open it is out of the question. We would simultaneously be working on the same document. I don't want to go there.

 

Here's a very simple example.

 

An article in InDesign, with a style override applied to the blue headline on the left:

The same article, exported as an icap file and opened in InCopy:

These two pages were opened locally on my computer -- same fonts,  images, etc.

 

I'm out of ideas and running out of patience. Maybe this is just a  bug. But any suggestions would be appreciated.

Can you add or delete pages in InCopy?

Working with InCopy CS4 on Apple.

 

Let's say I got an Indesign document with 4 pages. My author can edit the document via InCopy. Now he needs 2 more pages because his text gets longer. Is there any way he can add the necessary pages in this document by himself in InCopy or let InCopy automatically add as many pages as necessary (like Word would)? Or does he have to ask me to add the pages in Indesign?

 

And vice versa: Can the author in any way delete unnecessary pages?

InCopy CS3 Stuck in Notes Mode

Hello All,

 

I'm trying to help an editor troubleshoot an issue that I haven't seen before.  InCopy on her system is stuck in Notes Mode for all documents.  When the user tries to type or click in a story, she's prestented with a new note instead of seeing the desired effects.  Here are the steps to reproduce the issue:

 

1. Open a document.

2. Check out a story from the document.

3. Try to type or click anywhere in the checked out document

 

We've tried the above steps with a dozen or so documents and they have all acted the same way.  The following are the troubleshooting steps that we've tried so far:

 

1. Restart InCopy.

2. Restart the computer.

3. Swap out the keyboard to make sure F8 wasn't stuck.

 

This issue just started this morning; she has used this system for about a year now without any similar issues. Her system configuration is as follows:

 

Apple iMac, 20" Intel Core 2 Duo

OS X 10.5.8 with latest security patches

Adobe InCopy CS3 5.0.4

Extensis Font Reserve Client 1.7.6.1

 

Please let me know if you have any questions or thoughts.  I have a feeling that there is something minor that I'm overlooking but I can't figure out what.

InCopy changes not saving

Hi guys,

 

We're having a problem here at our organisation where we can't save changes to InCopy files properly.

 

Here's what happens:

 

If I make changes to an InCopy file and "save content", everything seems to work fine. But if I close the file and then open it again, the program prompts me: "Do you want to replace this file [the newer one] with this one [the older one]?"

 

If I choose "no", then the file will open okay with the changes I made earlier.

 

However, if someone on a different computer tries to open the file, they get no prompts and the changes don't appear. You can see how this is a problem, because the whole point of InCopy is to have multiple users working on the same file.

 

Some other information:

  • The file is held on a server that we can all acess.
  • Our designers work offsite. They do not have access to our servers, so they export an InCopy file from InDesign and send it to us via email, which we then save to our server.
  • Converting our InCopy file to an InDesign file works fine with all changes saved. The only problem is making changes to the InCopy file.

Text updating slow

Hi,

 

When I try to update a story in InCopy (CS5), it is going so slow!!! It takes about 3 seconds for a letter I typed to show up.

 

I deleted all of my preferences files.

 

What else can I do? 

 

HELP!!!

We are a group of editors who have been using InDesign and InCopy for several years. We send InCopy assignment packages to one another by email - no central server involved.

 

We have an experienced editor who has opened a package, edited the content and saved it, then gone back in to the assignment files with the intention of resuming his work - a process we are all familiar with. On this occasion he is unable to check out the content he needs to edit, getting the error message I have placed in the subject line.

 

I have searched widely inside and outside Adobe.com but cannot find any advice on how to get around this problem.

 

Help!

InCopy displaying masters instead of pages

Hi guys,

 

InCopy users (PC) are seeing only the masters pages of a file generated from a InDesign user (Mac) – instead of the actual pages with the stories.

The file is properly setup with a assignment and stories and the whole flow is working fine between Macs (the file):

And this is what the PC users are seeing (the master pages and the Portuguese version of "Because this document contains no InCopy stories, Galley View and Story View are not available.")

Hyperlinks in Text Macro Don't Work

I need to create a text macro that includes a hyperlink.

 

Macros with hyperlinks only work the first time you create them, in the original file that you used to create the macro.

 

In other words, when I enter the text that I want to be the macro in an InCopy file and place the macro in that file, the hyperlink is embedded correctly.

 

But if you create a new file, and then try to use that macro, the link becomes incorrect. When you insert the macro into a new file, Instead of linked text correctly linking to, for example, http://adobe.com, it will try to link to InCopy TextMacroshttp://adobe.com and the link won’t work. You can see the problem if you hover over the link in the hyperlinks panel.

 

Is there any way around this? I'm using InCopy CC 2015, but I also checked it in InCopy 2017 and it was the same.

InCopy content not showing up as an Assignment in InDesign

We publish a newsletter that is created in InDesign with links to articles created in InCopy. Suddenly, not all of the articles show up in the Assignments panel, although all have the globe/arrow link and all show up in the Links panel.

InCopy Crashes immediately after opening a shared InDesign file on network

Maybe someone can help solve a problem someone on our magazine production team is having. An editor using InCopy for collaborative work opens an InDesign file and IC crashes immediately. It's vexing because it doesn't happen for her with other files nor with other team members opening the "problem" file. We have eliminated other obvious culprits, everyone is running IC/ID 2018 v13.1 and the designer and editor in question are working on on Macs with Sierra 10.12.6, 16MG. We all access shared files on our network. The editor having this IC crash problem has no issue when working on other ID files. One temporary fix seems to be if the Designer opens the ID file and resaves it, the editor can then use IC to open that ID file wo crashing. But this step must be repeated again and again. It's a pain and confusing.

 

We think it may have to do with something in the specific InDesign file we use for that column but don't really know what that might be since other editors are not having the same crash problem.
