How can I substitute fonts (permanently)?

I'm using InCopy CS4 with remote designers. They send files. I open them and am presented with a list of missing fonts.

I install these fonts, but some of them have slightly different names than what our designer used.

All I want to do is tell InCopy to substitute my fonts, preferably permanently. So I click the "Find Font" button to see a list of those fonts.

It *looks* like I have the option to "Replace With," but the "Change" button is grayed out. When I click "Change All," it appears to substitute the font I've chosen for *every* font.

Still, when I view the document in Layout, it has not substituted anything.

Bottom line: How can I tell InCopy to substitute certain fonts in the doc with certain fonts on my machine?

I have a user getting this error in InCopy CS4 v 6.0.3 on a Mac: "unable to check out this file. it may be in use by someone else". It seems like a glitch.  The whole package has been assigned to this user.  All the stories exported belong to this user.  She is the only one touching this package.  When she looks at the assignment palette, some of the stories have the pencil mark.  The rest of the stories have a pencil with a line through it.  It says it is  checked out by UserA but the problem is UserA is trying to access it.

 

This problem somewhat comes and goes.  The user is trained to check out all stories so I'm not sure why InCopy is doing this.  Closing the application, restarting the Mac, opening and closing the document doesn't help.  Does anyone have any suggestions?

CS5 Default substituted fonts

I'm asking this question for the editor that I regularly work with on projects. He works on a Windows laptop editing a lot of content that is designed on Intel Macs. We share multi-use fonts through Universal Type client but whenever we use system fonts, we run into the issue where different computers have different versions of the same font. So whenever he opens one of our documents in IC, he gets a missing fonts warning for fonts that he has (Times, Arial, Wingdings, etc.).  Is there a way that he can set those fonts to be substituted by the system font versions that he has so that he can see the approximate flow using the correct font without having to actually replace the font (which would then mean that the designers would have to replace the font again when they reopen the file)?  Hope that makes sense. I know IC uses a default font to substitute missing fonts, I'm just wondering if there is away to permanently assign certain fonts to substitute certain missing fonts.

Multi line hyperlinks problem when exporting to PDF

I have a problem with hyperlinks i multiple lines when exporting a InCopy document to PDF. Its only the first line of the hyperlink that actually gets convertet to a link in the PDF file, the second line is just text.

 

Is this a known problem and is there a fix or a workaround?

 

We are using fully pached InCopy CS5 and Acrobat 9.

Has anyone had problems with text wrapping not showing up correctly in InCopy?

Designer is using InDesign CS5, version 7, and editor is using InCopy CS5, version 7.0.4. Both on Macs, working remotely through packaging workflow.

 

InDesign doc and pdf look fine, but when editor opens package, on some pages (not all), where text is meant to wrap around an object, it is not wrapping. Instead white space is left and text gets pushed forward onto next page. In Galley view, a page break occurs at roughly the spot where the text wrapping should be happening, but no page break is there in layout or story view.

 

Also in this same document, some paragraph styles have changed slightly from what they should be--this is easily fixed, but still a mystery as to why they are coming up incorrectly, even though all fonts are the same, etc.

 

Would be grateful for help as this is obviously affecting our efficiency and the usefulness of InCopy for our staff.


Unable to open InCopy file I closed yesterday: unclosed token error.

I have not been able to find anything on this issue. I am using InCopy CS5 (7.0.4). I am preparing stand-alone InCopy files for InDesign layout. In other words, these files are not part of InCopy workflow.

 

When I try to open a file I closed yesterday, I get the error message: unclosed token.

 

No options to restore the file. Nothing. I guess I have to kiss that file good-bye.

 

Any suggestions?

 

Note: I must first say that InCopy CS5 has got to be one of the most unstable pieces of software I have ever used. It has crashed nearly once an hour since I started this project. (Don't get me wrong. I am a fan of InCopy/InDesign. There is no better way to integrate xml into the publishing cycle, for example.) But as an example of the unstable behavior, I will be copying and pasting text from one place to another when the beach ball will start spinning. Then InCopy crashes. In a few minutes, the crash report window appears. After answering the various dialog boxes, my file(s) come back.

Edit Text Only in .indd file with inCopy

I write for a print magazine.  I send my copy in as Word files; the copy desk and the art department make nice-looking pages; they send them back to me for final edit as .indd files. Usually, I just have to add or delete words to make it fit the page.  I never touch graphics or layout.

 

I have a company-supplied copy of inDesign on my company-supplied PC laptop.  I don't like to lug the PC around, so I got a Mac Air and bought my own copy of inCopy.  With it, I can read and print the .indd files just fine on the Mac. I cannot copy-edit them.

 

What's the simplest thing I can ask the managing editor to do to make it so I can peform that final edit on the Mac iwith inCopy and send him back a file just like what he's used to? 

 

I can't ask him to perform a lot of extra steps just so I don't have to tote around an extra 5 pounds.  And I don't want to call IT's attention to the fact that I'm not using the inDesign seat they're paying for. (Hey, it IS my fallback.)  But I have a feeling that we're already doing things the hard way.

Hi,

 

We have written a script for rebuild the modified tables in Indesign document. Now we have used the same script in InCopy, but we are getting the below error while running this script.

Error number:55

New to InCopy need basic info

My client has several manuals that have many sections the same throughout. They want to be able to make a copy change in one of the InDesign manual documents and have it update in the others without having to open each one and change it. Will InCopy allow me to do that? Or what is the best solution?

In InCopy, how can I paste from one InDesign table to another without also copying formatting?

I'm attempting to paste information from one indesign document to another, but the styles are different. Pasting without formatting not working in a table. When I paste over, it retains the container style from the original table.

 

I have "Text Only" selected from my Clipboard Handling preferences, so I'm not sure what else to do. I know I can hit escape to switch to the text selection instead of a container, but this only selects the text from one cell. I'd like to copy over the entire table, instead of copying cell by cell.

 

How can I paste a table into another, without copying the formatting?

InDesign file saving and exporting S-L-O-W.

I am a designer using the InDesign/InCopy layout workflow. After my last post things were working pretty good for awhile. But now it is taking more than an hour to save over the network. I tried putting everything in the same folder on the network (links and all) and it still took me more than an hour just to relink a placed InCopy story. I am going mad. A week overdue for my first draft and I can't do anything. So today I decided to just  use the package workflow to speed things up. However it still takes as long to create assignments even after I have saved the InDesign file and links to my desktop.

 

Is there any possibility this is caused by using the last document and saving as new name? Even if I have unlinked all assignments and stories first?

 

I've tried saving as an inx file but I lock up.

InCopy 8 (CS6): Missing Plugins, Cannot Open File

A client and I have used InCopy for several years with no issues. After upgrading to CS6, though, we are both getting this error when opening InDesign files that have embedded preflight profiles:

 

Missing Plug-ins, Cannot Open File

Package and Preflight.InDesignPlugin

 

I've tested this on two machines (both Macs) and can confirm that it happens only with embedded preflight profiles. My client is having the same experience on his brand-new iMac (with no previous CS6 installations).

 

Documents without embedded preflight profiles open normally.

 

Extension Manager reports that the Package and Preflight plugin is loaded -- but from a nonexistent folder:

This folder existed in CS5.5 but not now. Both my client and I have uninstalled and reinstalled InCopy CS6 with no change.

 

After clicking through the error to load the document, selecting Option+Command+InCopy > About InCopy to display component information shows that the plugin is both "used" and "missing."

No big deal (we can click through this) but annoying and strange. Anyone else running into this?

Editor can't access InDesign file through InCopy CC, while designer is in same file with InDesign CC

Hello,

 

This is the problem we are having

 

When a designer opens an InDesign file that is stored on a network share through InDesign, and an editor tries to open the same InDesign file through InCopy, the error message “This file is already open by another user or another application. This file may be stored on a network server and cannot be opened until the other user closes it.” is displayed. To get around this issue, the designer must close out of the file in InDesign, and the editor must open the InDesign file in InCopy before the designer reopens the InDesign file using the InDesign application. This issue did not occur in 9.1. Adobe support has stated that files cannot be used at the same time in InCopy and InDesign, but that is the function that the product was designed to accomplish and this issue has never occurred before. The files are stored on a shared network.

Also, when an editor updates an assignment from InCopy and a designer clicks on the updated assignment to update their view from InDesign, the error message “The content is locked and cannot be modified.” is displayed. If the Designer clicks OK, the view is updated as expected. This occurs even is the assignment is NOT checked out by another user.

Finally, if a designer adds or updates a graphic inside of an InDesign file using InDesign while an editor is editing the file using InCopy, the editor using InCopy will not see the update unless they completely close out of the InCopy application and reopen it, which due to the above problems, is not feasible. The only way the file can be updated in InCopy is for the designer to completely close out of the file, for the editors to then close out, and reopen in InCopy, at which point the designer may reopen the file. If some editors are away from their desks at the time of update, the entire process must be repeated in order for them to be able to open the most recent version of the file in InCopy.


This issue appears to be due to a major flaw in the 9.2 version update for InDesign, as none of these issues occurred before the 9.2 update. One computer currently still has the 9.1 version of InDesign at our company, and does not experience these problems we are having with 9.2. We have tested multiple configurations of our network trying to rule out our network as the problem, but the only case in which we don't experience these problems is when we use InDesign version 9.1.  Also, we never experienced this problem before the update of InDesign and InCopy to 9.2.

Missing Plug-ins - Package And Preflight.APLN from InDesign Document

If a user creates a file in InDesign CC and then tries to open it in InCopy CS6 they get the following error.

 

Missing Plug-ins, Cannot Open File

PACKAGE AND PREFLIGHT.APLN

The Doument "filename.indd" uses one or more plug-ins which are not currently available on your system. Do you want to open anyway?

 

This happens whether the copy of InCopy is on the same PC as InDesign or a seperate PC without InDesign. InCopy is installed seperately from the CC.

Clicking OK opens the file normally.

 

We have checked that both versions of the software match at v8.0.2.

 

I've heard it might be due to embedding of this file but the designers say they are not yet at the stage of packaging this file when they get this error so nothing should be embedded.

 

Can anyone help?

Copy editor using PC new to creating remote workflow with InCopy CC -- please help

When the client sends me an InCopy file, it says I already have the items on the Assignment panel checked out. Is this because he has not "packaged" the files to send to me with the InCopy file, or is there some other reason? When I click on the individual text boxes in the file, it says the text "cannot be located." We are not sharing a server -- can I receive an InCopy document from him, update it with edits and send it back using InCopy CC?

Measuring text in column inches

I cannot figure out how to get InCopy to measure text in column inches. Vertical inches are listed on the left, but it is not measuring in column inches. I cannot find any place in the help manual that tells how to measure in column inches or if it is even possible to measure in column inches.

InDesign to InCopy problems

I am fairly new to InCopy but a veteran InDesign user. I use InDesign CS4 on my MAC and export stories and assignments to PC InCopy Users. I also have a copy of InCopy on my Mac for trouble shooting. We publish a multiple page quarterly publication and I am still trying to figure out best way to work with multiple 5-6 editors. Working with assignments seems to work the easiest.

 

We started in the middle of an issue last time and it seemed to work but was slow. Now starting with a new document I am finding I am having more trouble with file size and the time it takes to export stories and assignments. We are working on a Server that is a little slow because we are not all in the same location. I am wonder best way to do this, and why my files are so large (just text) after I export them. I also need to know why it takes so long to export very simple stories. It wasn't this bad before, what could have gone wrong. My tech services department has done some server work but assure me they didn't change anything that would cause this and are blaming it on the file sizes.

 

I have looked through references, watched Lynda.com video, purchased the CS2 book and I am still in the dark. Please help.

InDesign CS5 and InCopy CS3

I work at a weekly newspaper, and we have been using and InDesign/InCopy workflow for several years. The Reporters use InDesign CS2 (never did get around to installing the CS3 upgrades we bought because at first the computers they use wouldn't handle it, and after the computer upgrades got done all around, no one ever bothered). After the stories are written, the editor reviews them in InCopy, then releases them to the page designers who are now working in InDesign CS3 as part of Standard and Premium Suites.

 

We are considering upgrading to InDesign CS5, but absolutely NONE of the reporters or the editor needs (or will ever use) the listed improvements included in InCopy CS5. Since there are nine InCopy products in the office, and as everyone knows the economy sucks - especially for PRINTED NEWSPAPERS these days, we really hate to have to upgrade just for upgrades sake.

 

I have downloaded InDesign CS5 trial to check if our CS3 files will open and work in it, after reading an article published in the Washington Newspaper, a publication put out by the Washington Newspaper Publishers Association, reported that one of the state's newspapers happily upgraded to CS5 and had a nightmare of problems just opening their CS4 files. This has my editor very nervious about us upgrading. So... I'm testing it out, and I can't place, then open and edit our CS3 Incopy Files. I get a message that says "this story needs toa be converted to "InCopy Document" format to edit it. I've saved it in InCopy CS3 to both incx and incd formats, and both receive the error. Has Adobe made simple InCopy files incompatible with InDesign? I can import files from just about everywhere BUT InCopy??? The Sister Program?

 

Please advise a simple work around, or I'll bet our upgrade is totally put off.
