Hi. How can I view an InCopy document's history to see when changes were made to it and by whom? Thanks for any help.

Does Adobe InCopy CS5.5 will compatible with InDesign CC. My client only has InCopy CS5.5 and will not ready to upgrade. I have only InDesign CS6 and InDesign CC. Would it possible to work InCopy 5.5 workflow with InDesign CC?

trying to use incopy as word processor replacement

Hi

 

I have some really naive questions about Incopy...

 

I thought I would try it out as a potential replacement for Word. I hoped I could separate the content and formatting for a long documnt but keep the two in an active editing mode concurrently until my document is finished - I had alot of trouble doing this in the past with linked Word files.

 

The first really dumb problems I have may be because I don't understand professional copy editing. I was trying to do very simple editing and was dumbfounded by the program's response. A simple backspace was not allowed while in galley or story mode and while I was in layout mode, i could backspace but I could not add new paragraphs...Is this all normal? Is there a way to get it to perform even more like a dead simple word pocessor?

 

Any advice about things I may be overlooking or issues I may want to reconsider in terms of my workflow would be greatly appreciated.

Disappearing text

When I'm editing in InCopy, blocks of text disappear for several minutes before reappearing. The most recent edits sometimes aren't saved. Why did this start happening, and how can I address it?

Resize Incopy text boxes

Can an editor resize a text box within InCopy? We have a table with rows. If copy oversets in the last row, all the copy in that row disappears. I realize they can resize the cell itself and most times we wouldn't want to allow resize of the text box but we do in this instance. We are using CS3.

Galley View and Story View are not available

When I should open InCopy documents (created on a MAC) on my PC, I get the following message: "Because this document contains no InCopy stories, Galley View and Story View are not available."

And it is not possible for me to edit the document.

On my colleague´s MAC-computers it is possible to work with the same document in all views. Why doesn´t it work on my PC?

Error Message - losing edits

This InCopy/InDesign workflow has been a nightmare so far.

 

My editor and I have had to redo both formatting and copy edits twice each already and this is a 324 page document. THe links dissapeared once and I've watched them vanish multiple times after (but at least caught it in time as it happened and repaired it before any edits were lost).

 

Now, we're in teh final stages and the editor is making very minor edits as am I but each time I open a file she has worked on I get this message:

"Edits have been made to the imported version of "filename". You will lose these edits by updating. Update anyway?"

 

I have no idea what this means - the files have not been moved off the server...nothing has changed in our workflow. I hit yes on a smaller chapter and noticed all the formatting I'd corrected the day before was erased. This is driving me nuts.

 

Any help at all is greatly appreciated. Thank you!

Strange Hidden Characters

I have several editors who are getting very strange hidden characters appearing occasionally. It's not all the time and there doesn't seem to be a pattern. This started with CS4. They will be working and all of a sudden, all of their hidden characters change from the little dot to these large cross-like symbols. They can quit Incopy and restart and the symbols go away, but it's really a hassle. These editors are working on Macs. Has anyone else seen this?


InCopy Missing Fonts

I am not an InDesign/InCopy user so my knowledge is limited.  A  division of our company is adding InCopy to InDesign CS5 to control  workflow.  I have been called in to help troubleshoot an issue with  missing fonts using InCopy.

 

Example:  Mac User (A)  creates a layout using InDesign CS5 and saves to network share.  We have  tested this with or without creating assignments.

Mac User (B) opens layout using InCopy and receives "Missing Fonts" message.

 

It  is our understanding that InCopy took care of this by the  use/integration of the Document Fonts Feature.  The Document Fonts  folder is created and the fonts in the document are in that folder but  it is as if InCopy doesn't know where they are.

 

1. Are  we incorrect thinking that InCopy should take care of this (even though  it is a bullet point on Adobe's website as a New feature)?

2. If  we are correct, then we must be missing something in our process and  would like to know if there are step-by-step instructions to make this  work.

 

I saw the post concerning copying fonts to the  InCopy fonts folder to work around font issues between Mac and PC but I  thought that was taken care of with this New feature as well.

 

I appreciate any help someone can offer.

Using a Remote VPN InCopy workflow vs. DropBox

I'm wondering about pros/cons of using a VPN remote workflow for Incopy vs. the dropbox method.

 

I'm the designer/production artist for several books and magazines, and so I have the InDesign files here on my server. In the past I've used the Package for Incopy remote email workflow but it's a bit cumbersome. So I'm wondering if the VPN workflow would be viable in my situation.

 

I always have up-to-date hardware and software, and a fast connection, but many freelance editors I know don't make enough money to buy a new computer every 3 years and the latest CS upgrade every 18 months. What do they need for hardware/connection speed in order to use a VPN server? Are they able to work over the internet if they have something like DSL?

 

With VPN, would I still be able to work on my local server, or would I too be working over the web? Working locally would be much preferred, so dropbox might be better in that case.

I haven't used dropbox for this - I use it a lot for sharing files between home and remote computers but only one person is accessing a file at a time. What are the pitfalls about using Dropbox? Can editors be working on the file at the same time as I am?

CS5 Default substituted fonts

I'm asking this question for the editor that I regularly work with on projects. He works on a Windows laptop editing a lot of content that is designed on Intel Macs. We share multi-use fonts through Universal Type client but whenever we use system fonts, we run into the issue where different computers have different versions of the same font. So whenever he opens one of our documents in IC, he gets a missing fonts warning for fonts that he has (Times, Arial, Wingdings, etc.).  Is there a way that he can set those fonts to be substituted by the system font versions that he has so that he can see the approximate flow using the correct font without having to actually replace the font (which would then mean that the designers would have to replace the font again when they reopen the file)?  Hope that makes sense. I know IC uses a default font to substitute missing fonts, I'm just wondering if there is away to permanently assign certain fonts to substitute certain missing fonts.

"Not Well Formed" and "Junk After Document Element" Errors

We are having InCopy stories that generate errors that I cannot find much information about online. This happens in CS4 and CS5 documents. We have no documents that originated in CS5.5 so I don't know if InCopy CS5.5 will CAUSE the issue, but I know that CS5 files opened in CS 5.5 have seen this issue manifest. Files that are functioning normally at check-in will just open next time with one of these two errors. No crash or strange behavior before suddenly the error appears. We can have dozens of stories in a document (or hundreds) and one will corrupt in this manner. An hour, a day, a week, maybe a month later, another file will die. There seems to be no discrenable pattern.

 

The errors are "Not Well Formed" and "Junk After Document Element." I can open the .icml files in a text editor and find and (usually) fix the problem, but wonder how the files are corrupting? The "junk after document element" files will have a complete duplicate of the content of the file starting immediatley following the </document> tag. It is as though instead of writing just the changes to the file when checked in, InCopy appends a whole new document, beginning with the <?xml version="1.0" encoding="UTF-8" standalone="yes"?> tag.

 

The "not well formed" files appear almost the same, but instead of the document starting over after the </document> tag, it will have a copy of itself inserted willy-nilly in the middle of the file. This one is much harder to fix…

 

Has anyone else seen anything like this?

Unable to open InCopy file I closed yesterday: unclosed token error.

I have not been able to find anything on this issue. I am using InCopy CS5 (7.0.4). I am preparing stand-alone InCopy files for InDesign layout. In other words, these files are not part of InCopy workflow.

 

When I try to open a file I closed yesterday, I get the error message: unclosed token.

 

No options to restore the file. Nothing. I guess I have to kiss that file good-bye.

 

Any suggestions?

 

Note: I must first say that InCopy CS5 has got to be one of the most unstable pieces of software I have ever used. It has crashed nearly once an hour since I started this project. (Don't get me wrong. I am a fan of InCopy/InDesign. There is no better way to integrate xml into the publishing cycle, for example.) But as an example of the unstable behavior, I will be copying and pasting text from one place to another when the beach ball will start spinning. Then InCopy crashes. In a few minutes, the crash report window appears. After answering the various dialog boxes, my file(s) come back.

Incopy crashes when opening large Indd-files

We are publishers of a magazine. One layouter on Indesign, and two writers on Incopy. What happens frequently is, that after a while, when the Indd-file becomes fairly big, Incopy stalls on opening the file. Sometimes it opens it in text-mode, but we can't switch to layout-mode. But mostly we don't even come that far. Right now, we are unable to open the file at all under Incopy. We have NO idea how to troubleshoot this, and it's seems independent of size, because we can open other large files. But it regularly happens with our magazine, once the file gets filled with graphics. Is there a log-file that would give us a clue what is happening?

InCopy Paragraph Style Keyboard Short cut errors

I am using CS 6 and have found the following in InCopy:

  1. I create short cuts for my paragraph and character styles on my Mac OS. For example "CMD" + "1" sets Paragraph style to "Intoduction."
  2. I open the file on my PC also running InCopy CS 6 instead of the keyboard short cuts becoming  "CTRL" + "1" for paragraph style "Introduction" as happens with InDesign they keyboard short cuts become something seemingly random, in may case "CTRL" + "S"

 

As InCopy doesn't support non-numeric characters for keyboard shortcuts these short cuts no longer work. I have tried the same process using InDesign files and here the keyboard short cuts went from "CMD" + "1"  for the paragraph style "Introduction" to "CTRL" + "1." Is this a known issue or have I made a mistake along the way?

Is there a way to copy a text box in InDesign(InCopy) without having the two linked?

I am new to InCopy, but my typical InDesign workflow is to create a page layout I like and duplicate spreads or copy text boxes and edit each accordingly. With everything linked in InCopy if i want to copy (say a picture caption to a different picture) then they are both linked and if I changed the copied text box I inadvertently change the original. Is there a way to make the new box have a distinct link?

In InCopy, how can I paste from one InDesign table to another without also copying formatting?

I'm attempting to paste information from one indesign document to another, but the styles are different. Pasting without formatting not working in a table. When I paste over, it retains the container style from the original table.

 

I have "Text Only" selected from my Clipboard Handling preferences, so I'm not sure what else to do. I know I can hit escape to switch to the text selection instead of a container, but this only selects the text from one cell. I'd like to copy over the entire table, instead of copying cell by cell.

 

How can I paste a table into another, without copying the formatting?

How to enable "Tracking in all stories" in InCopy?

I see it in the menu but I can not figure out how to activate the feature. Have been trying for days. The menu option is dim grey and not an option to apply.

I have a client who is working on the document and they need the feature real bad.

File recovery: Incopy cannot reopen edited file

An editor I work with has done a lot of work on an InCopy (CS6) icml document, only to find when she wanted to open it next morning, that it won't open.

There is no error message. The little blue wheel keeps turning, and nothing happens.

I also tried updating the InDesign document and, alternatively, importing the icml file into a new InDesign document, all with the same result.

Evidently there is something wrong with the file.

 

Is there any way to repair/recover an icml document?

I'm dreading telling the editor that she's going to have to do the work over from scratch.

Is there a way to make Track Changes a preset in InCopy Preferences?

A lot of my editors forget to turn on Track Changes before they begin work on a story. As a part of a student publication, there's no real way to "incentivize" them to remember. Is there any way to configure the application to turn Track Changes on in every story?
