Save different versions of 1 InCopy document

Hi there,

 

I was wondering if it's possible to save different versions of 1 Incopy document?

 

Example:

I've designed a layout for a flyer in Indesign (CC) for a client who gives training. They do textcorrections themselves with InCopy (CC).

If they have a new training available, they would like to use that file (or a copy or what so ever) to make a new version of that flyer.

Unfortunately making a copy of the package, isn't working for a new version.

 

Does anyone know if it's possible or know a user-friendly workaround?

When using Dropbox to transfer InDesign files, has anyone notices how the 'read/write' preferences change?

When we use outside contractors to produce InDesgn files, they upload to dropbox open files but it would appear dropbox changes the preferences to 'Read Only' Anyway around this?

Track Changes and Collaboration within InCopy

We are looking to create a Microsoft Word Track Change environment within InCopy. We want to easily identify the different editors, and not have to look for minuscule icons for notes. We want to be able to collaborate between the editors — have a way to accept and decline the recommendation. Is there an app, extension, or plug-in to accomplish this outside of having to totally use another publishing managing suite, i.e., vjooon?

Is there a way to merge multiple icml files into one

Hi, We work with VjoonK4 and when we create articles, we have an article with multiple boxes.

When we export it from our databases, it exports an icml file for each box.

Is there a way to merge them back into one icml file?

Adobe Indesign CC to Adobe InCopy - Story Format is Not Compatible with this Assignment

I have been using the InDesign to Incopy workflow for several years and have never seen this error before.

 

First off - to start, i'll explain some factors that might be causing this error in case it helps with a solution.

 

1. The original files were created & assigned to InCopy in Adobe InDesign CC 2014 in June, we have all since upgraded to Adobe CC 2015 in early July.

 

2. The InCopy user on the other end renamed and moved my Indesign files (even though I warned them not to) - causing broken links, double assignments, all of that fun stuff.

 

3. I have 2 different writers using InCopy, one was using Incopy CC 2015 version and one was using InCopy CC 2014 version - I think there might have been some compatibility problems that caused this.

 

4. I tried unlinking everything, deleting the assignments folder and starting all over again. That did not work - When I try to create an assignment and then tried to add text boxes to that assignment - it did nothing, sometimes it doesn't even create an assignment file. When I tried to drag the text box to the assignment panel - I got an error saying "A story was not added to the assignment because the story format was not compatible with this assignment" - sometimes it will create a .icml file, but when you try and open it in InCopy - all that comes up is a blank master page telling me there is no content.

 

These files all were fine before and I was able to assign all of these text boxes without any problem at the beginning, but once the (above things mentioned) all happened - I haven't been able to return these files to a state where I can make them editable in InCopy again for some reason. I haven't changed any kind of formatting - but we did upgrade to Adobe CC 2015 since these files were created - not sure if this is a version compatibility problem?

 

I am absolutely stumped - anyone have any idea what's causing this? I have collectively probably spent about 4-5 hours trying to troubleshoot this with no success.error message.JPG

This doesn't happen with every file, only about 6-8 files that the writer renamed, moved and used an old version of Incopy CC 2014 to open. All of the newer files I have created I can export assignments just fine.

Hi Bob, Although requirement system be ok, the Incopy CS6 wait several minutes to open a book and each simple change too!

I believe it can be the following:

The book file has 184 MB and several pictures

It is on the local network and not in PC (but many people needs to work simultaneously it)

I'm correct?

Is there a cloud server solution with CC and/or CC for Teams?

In the past, we've used a local server to share InCopy assignments between our writers and designers. Now, with many users working off-site, we'd like to use a cloud-based workflow. Is there anything within InCopy/Indesign CC to help with this? We have a CC for Teams account.

 

My first thought was to use the CC Libraries function, because this has worked great for us with graphics and photos, but InCopy files cannot live as Library items. Actually, InCopy doesn't even appear to have a Libraries panel.

 

My second thought, and what we're currently practicing, is to have shared folders in our Creative Cloud drives. This works much like using Dropbox would work. The issue here is that, like Dropbox, the Creative Cloud Drive files exist on your physical machine, then upload to the cloud server after a save or check-in action takes place. This pretty-much eliminates the benefit of the check-in/check-out process, as each individual will always see the file on their desktop as checked-in... even if all of them are working on the same file independently. Then there will be a syncing issue as they all save or check-in their content.

 

tl;dr: Is there an Adobe solution to create a cloud-based InCopy server workflow?


InCopy and InDesign can open the same assignment at the same time

Can anybody help me? In InDesign I have created assignments. When the copy writer checks them out, the InDesign Assignments Palette does not update to show that they are checked out and are unavailable to me to edit. Instead they remain marked as available and I am able to check them out at the same time as the copy writer has them open. If the copy writer has multiple assignments checked out, they don't appear as checked out in InDesign until I select ‘Update all assignments’ in the Assignments Palette.

Has anybody come across this before? We can't start using InCopy until this is resolved.

Large files causing InDesign/InCopy to Crash

I am pilot-testing using InCopy for use in my office, and I'm having trouble with InDesign crashing every time I try to update the text layer that has been updated in InCopy. I don't have problem with smaller files, but with the larger files, InDesign always crashes and when I re-launch InDesign, I get a windown saying the file is now damaged.

 

The files giving me problems are really large, and I think that's the problem. They range from 6-30 pages of two-column text. The text has paragraph styles, character styles, hyperlinks, bookmarks and they were originally made in InDesign CS2. They were updated to CS4 in 2009.

 

I export the entire text layer (6-30 pages worth of text) as an assignment, make some changes to the InCopy document in InCopy, check everything back in, close InCopy, open InDesign, open the document, try to update the text layer and InDesign crashes. Every dang time.

 

Has anyone else had this problem? Is it just the size of the file?

Having some major mac - pc issues using remote workflow

Hi all. I'm having some major issues using the InCopy workflow and was hoping someone could help me out with a few items.

 

I've helped a client out with their workflow, proposing, demoing and promoting the InCopy workflow which seemed to be the best solution. And don't get me wrong when posting this message on the forum: I love the InCopy workflow and think it's briliant.

 

The scenario is that a design agency needs to deliver the layout for a big annual report for their client, who then makes changes in the text etc. The design agency is on a mac (ofcourse), but the endclient is on a PC. Now after some training and trying this all works fine. They are using the remote workflow, using icap and idap files (which they place on dropbox for easy transfer)

 

But they've been having so many issues these last few weeks, it's been crazy. And I'm actually starting to feel a bit uncomfortable every time they call me. Just to make clear, they love InCopy (... when it works). And eventhough I'm a huge supporter of the program I just wanted to make sure if there are any other glitches that I should know about. The thing is that (because I work for an IT company), every time they need support they get billed ofcourse. But the problem is that everytime they run into some kind of problem, production just stops and they need me to fix everything.

 

Issues that they are having:

 

- the endclient (so copywriter) works on a project all weekend (an icap file). Saves everything, checks in, closes, goes to bed. Next morning (monday) she opens up the same file to continue working and gets the "cannot recover..." error (see attachment). And she looses her edits. You need to understand that these copywriters really know what they're doing with InCopy.

- when a colleague of hers is working with InCopy, and InCopy crashes and she reopens her file then it also happens that the checked-out stories from before remain checked out and she cannot continue (because the story has already been checked out by "another user" (herself)). I managed to resolve this by opening up the individual icml files in incopy and just closing them again. That seemed to remove the "lock" status of the icmls. But still they need me for support. This also happened in the design agency. They are working on a layout, check out stories, InDesign crashes, reopen file and stories remain checkout and they cannot continue because InDesign thinks that they're checked out to another user. And they do not have InCopy themselves so I cannot use my "open icml in incopy and close"-workaround.

 

- after a few extra InCopy crashes (where InCopy.exe just doesn't feel like doing anything anymore and quits), I decided to place their files (unpacked icma and icmls from the icap) on the C drive instead of on their server and this seemed to resolve a bit of the trouble. The workflow seems to be a lot more stable now. I did this because they also received the dreaded "Error: code 0" message when starting up (and again) she lost her work). After some creative googling I was able to find out that this might have something to do with disk permissions and copy-paste issues on a PC server. Anyway, it was worth a try

 

- only yesterday the client called me stating she couldn't start up her icap files anymore. I was able to recover the indiviual icml files and send these back to the design agency and recover part of her work. (after combing out the files I discovered on of the icml files was damaged and could not be opened, that is why opening the icap file failed).

 

- and one last issue (which isn't really a problem but just a bit of a rant ;-). Why does it take 8 full minutes to open up a 2,6Mb icap file on a fast laptop (from the HD)? Even on my own laptop it takes several minutes? I know that the waiting time has something to do with the complexity of the files (images, how many styles, how many icmls, etc). But it seems ridiculously long.

 

 

They've been having issues like this on a weekly basis and they're starting to loose faith in the solution because it's costing them more money (via support) then it's saving them.

 

 

Does anyone have any experience with this? Is this because it's a mac-pc workflow? I understand that this is officially supported, but it practice teaches us that it's in fact not that stable I'd rather just recommend the client to get a mac from the start. Every client would rather hear that than having to deal with all these issues. And I have to say I'm very happy with the client for being so understanding, but I think they'll run out of patience soon if this keeps up. I've also included some other "postcards from InCopy" ;-) and so you must understand if you get all these errors during the last 3 weeks losing hours of work ... well it's just not fun anymore.

How to improve Incopy performance in Windows

Is there a way to configure the performance settings on Incopy CS6? At the moment we have a user who has it installed on a Windows 7 machine with 4GB RAM. It keeps crashing constantly and we've disabled a lot of the extensions.

 

I know in Photoshop there was a way to configure the performance settings so am not sure if this is possible with Incopy.

 

At the moment we are installing all the Adobe updates and will test out afterwards. Any help would be much appreciated.

Creating hyperlinks in Incopy

I have created hyperlinks in Incopy and tested them using the hyperlinks panel. The links work. However, when I export to PDF from Incopy, the hyperlinks are not there. I noticed when exporting the PDF from Incopy, there is no option in include hyperlinks. Am I correct in assuming that you can create and test the hyperlinks in Incopy, but in order for the hyperlinks to work in a PDF, the PDF must be exported from Indesign?

Two Assignments in InCopy's Assign Panel

Now I'll install the workflow with InDesign CS5 and InCopyCS5 at medium  Newspaper.
The problem is: I want that InCopy users (editors) to be  able put a INCX file to other assingment in InCopy's panel assignments
Is it Possible? Have two assignments in InCopy Panel?

 

Or a  workaround: When the Editor finish your work in some text frame, he can  indicate that frame is free to review, without talk with InDesign user.  Who have the rights to change this INCX from a assignment to another.

CS5 ISSUE - STORIES NOT LOCKING ALL THE TIME IN INCOPY

I have an issue where sometimes we will have one user open a story and it will NOT show it as being locked (pencil with line through it).  The majority of the time it will, but seems to happen too often and I see it being a problem this coming weekend as they start the switch from Quark to CS5.  I just can't have users being able to check out the same story as one person will overwrite the other.  We work off a file server with ExtremeZip installed.  Has anyone else seen this?  Sometimes if the document is available to be refreshed, like on a different story, it will then put a lock on the file.   I am not doing anything cross platform, this testing is done on 2 macbook pro's with both IC and ID CS5 installed.  Any help is much appreciated.

change active window using script?

Hi there,

 

I'm trying to find an answer for this for a few days now. I'm sorry, but I'm quite a beginner with scripts.

 

I have to work with many texts that come from a content manager (Atex). The content manager, however, only opens these text files in InCopy's Story View - usually, they are easier to work using the Layout View. My aim is to create a simple script that:

 

- changes the view from story to layout, and

- applies a zoom factor to the text so that it can be seen more closely.

 

The second part is fine. From what I've seen at the forums, both alternatives work nicely:

 

app.activeWindow.zoomPercentage = 230;

 

or

 

app.activeDocument.windows[0].zoomPercentage = 230;

 

 

Now is there a way to solve the first part? It would help me enormously!

Help please. Opening InCopy files in InCopy crashes InCopy

I'm about to go completely insane, so hopefully someone will have an idea of what might be going on here…

 

I have an InDesign CS5 file that I've created an InCopy assignment containing one InCopy content file. I can check out the content file in InDesign and check it back in. When I try to open either the content or the assignment file, or even the InDesign file, in InCopy CS5, the program crashes. Here's the beginning of the report that is generated:

What the heck is this AdobeCoolType thing and how do I fix it? There are all of two fonts in the document and I've removed and reinstalled both. I've round-tripped the InDesign file to IDML and back. I've created new ICMA and ICML files in different locations. I've reinstalled both InDesign and InCopy after trashing preferences. I downgraded to Mac OS X 10.6.6 from 10.6.7.

 

One more thing: when I return to InDesign to unlink content and create new ICML files, if I give the ICML file the same name as the old, InDesign things it's checked out by InCopy even though I've deleted the old ICML file.

 

I'm at a loss on what else to do. Can anybody please help before I lose it completely?

Is InCopy CS5.5 compatible with InDesign CS5?

I'm using InDesign CS5.

 

My editor has InCopy CS4, so they can no longer upgrade to CS5. Now, if they upgrade to CS5.5, will they be able to work on my InDesign CS5 files without any problems? If they check out/check in stories will I have any problem working with them?

 

We use a Dropbox workflow.

 

FWIW, I could work in InDesign 5.5, but there are other designers who need access to the files, so it's best if we can keep the job in CS5.

Rotate Spread in Incopy?

Does anyone know if there's a way to rotate the spread from Incopy? I know you can do this in Indesign, but I don't see the feature in Incopy. Guessing this would be a feature request. Editors really need the ability to do this.
